Privacy notice

Your review can help other renters without making your identity or tenancy documents public.

Who is responsible

RentChecked is operated personally by Mickey for the controlled UK pilot, not through a registered company. Mickey is responsible for deciding how the service uses personal information (the data controller). Contact privacy@rentchecked.co.uk about privacy or your data rights.

Information we receive and why

We use your account email to sign you in by magic link and connect you with your submissions. We receive tenancy dates, review answers and ratings, proof documents and any supporting photos you choose to upload. These help us check the tenancy, moderate the review and show eligible reviews on the property record.

Proof may contain your name and other personal information. Redact unrelated financial details, account numbers and other people’s information, while leaving your name, the property address and a relevant date visible.

Property searches send the postcode and selected property reference to our property services. Hosting and authentication services also process technical request information to deliver and protect the service. If you contact support, we receive your message, contact details and any context you provide.

Public reviews and private information

Published reviews show review text, ratings and year-only tenancy dates. We do not publish your name or email address. Proof documents, original supporting photos, full tenancy dates and internal moderation notes remain private and access-restricted. Avoid identifying yourself or other people in your review text.

Services that help us operate

We use Supabase for accounts, database and private file storage, Vercel for hosting, and Resend for sign-in email. Ideal Postcodes supplies address lookup. EPC, Environment Agency and Police.uk information supplies property context; the property page explains each source and its limitations.

Provider processing locations and any arrangements for transfers outside the UK still require review. We do not claim that all processing stays in the UK. You can ask privacy@rentchecked.co.uk about the providers used for your information.

Reasons for using personal information

Our proposed lawful basis for account access and handling the review you ask us to process is performance of our service agreement. For checking authenticity, moderating and publishing reviews, preventing misuse and handling reports, the proposed basis is legitimate interests in running a trustworthy review service and helping renters make informed choices, balanced against the rights of reviewers and other affected people.

These bases require a documented necessity and balancing assessment before release; they are not established simply by uploading a document. We do not treat use of the service as blanket consent. We do not ask for health information or other sensitive personal details; please leave them out of reviews and redact them from evidence where they are not needed.

Retention and deletion

The intended policy makes tenancy proof eligible for deletion 90 days after the relevant publication or rejection event. The deletion process is not yet active in production, so we cannot currently promise automatic removal on that date.

For other records, retention should depend on whether the account or submission is active, whether a review remains published, and whether an unresolved support, moderation or privacy issue needs the information. Original supporting photos have a separate lifecycle from proof. Fixed periods and a regular deletion process for these records and recovery copies have not yet been established. We do not promise automatic deletion for them. Contact privacy@rentchecked.co.uk to request review or removal of your information; requests are assessed individually.

Cookies and sign-in

RentChecked uses Supabase authentication cookies to keep you signed in and complete secure sign-in. The current application does not add advertising or analytics cookies. Blocking authentication cookies may prevent sign-in and account features.

Authentication cookies may persist between visits and refresh while you use the service; the current library sets a maximum age of 400 days. This is not a guarantee that your session lasts that long. Signing out clears the session cookies. You can also remove cookies in your browser settings.

Your information and your rights

Depending on the circumstances, you can ask to access or correct your information, erase it, restrict or object to its use, or receive a portable copy. Where processing relies on consent, you can withdraw it. These rights have conditions; we may need to confirm your identity safely before acting.

Email privacy@rentchecked.co.uk. You can also complain to the Information Commissioner’s Office.

Notice status

This pilot notice reflects the current service. The lawful-basis assessments, retention arrangements and international-transfer details described above remain subject to UK legal/privacy review before release.
